September 1 is approaching. For many childcare centres, this also means a major reorganization of groups.
Some children move to older groups, new spaces become available, and several groups may need to be reorganized. When dozens of children need to change groups on the same date, what seems like a simple task can quickly become time-consuming and difficult to verify.
This is exactly why we developed the new Child Group Transfer Assistant in MyDaycare Plus.
The Child Group Transfer Assistant is available from two locations in MyDaycare Plus:
This allows you to quickly open the tool from whichever location best fits your workflow.
The Transfer Assistant displays your groups and the children assigned to them in a simple visual interface.
You can immediately see how children are currently distributed, their ages, and the age limits defined for each group.
To transfer a child, simply drag and drop them into their new group.
This allows you to prepare an entire group reorganization without opening each child’s record individually.
Depending on your needs, two types of group changes are available.
Need to move a child to another group today?
Select Immediate change, move the child to the new group, and apply the change.
The child’s current group will be updated immediately.
This option is especially useful as September 1 approaches.
Simply select the effective date, for example September 1, and prepare the new group assignments in advance.
The changes are saved now but will only take effect on the selected date.
You can therefore prepare for September several days or even weeks in advance without changing the children’s current group assignments.
In many daycares and CPEs, a large number of group changes take place at the same time of year.
Instead of maintaining an Excel spreadsheet, taking notes on paper, or manually updating each child’s record on the day of the change, you can now prepare the entire reorganization directly in MyDaycare Plus.
Select September 1 as the effective date, then simply move the children into their future groups.
You immediately get a complete overview of the new organization.
This makes it easier to verify:
Each group can be assigned an age range.
The Transfer Assistant uses this information to help you identify situations that may require your attention.
When a child reaches or exceeds the age limits defined for the group, their age is visually highlighted in the interface.
This makes it easy to identify children who may need to be transferred to another group.
The Assistant does not make the decision for you. It simply provides the information you need to avoid oversights and make planning easier.
One of the main advantages of scheduled changes is the ability to work with a future view of your daycare.
When you select a date, the Assistant shows you the group organization expected for that date. You can then adjust the distribution of children using simple drag-and-drop actions.
Your current organization remains unchanged until the scheduled date.
You can therefore prepare September during August, review the new organization with your team, and save the changes once everything is ready.
The goal of the Transfer Assistant is simple: turn a repetitive administrative task into a quick and visual process.
Instead of opening multiple child records one after another to change their groups, you can work directly with all your groups in a single interface.
A few drag-and-drop actions are all it takes to prepare the new group distribution.
Most importantly, you maintain a complete overview of your organization throughout the entire process.
Moving children from one group to another is a normal part of managing a childcare centre. Spending hours making those changes manually should not be.
With the Child Group Transfer Assistant, you can prepare group changes in advance, choose their effective date, identify children who are outside their group’s age limits, and organize your September transition using a simple drag-and-drop interface.
If several children are changing groups on September 1, this is probably the perfect time to try this new tool.
