Self-inspections help childcare centres regularly review their practices, facilities, and various elements related to compliance.
To make this process easier, we developed a new Self-Inspection Forms module directly in MyDaycare Plus.
The goal is simple: allow you to create, complete, document, and track your self-inspections in one place, without having to manage paper forms or multiple separate files.
The Self-Inspection Forms module is available from:
Administration → MFA and Compliance → Self-Inspection Forms
The module is divided into two main sections:
This separation makes it easy to distinguish between the forms you prepare and the inspections that have actually been completed.
Ministry forms are already integrated
The Ministère de la Famille provides childcare centres with several self-inspection forms.
Many of these forms are already integrated directly into MyDaycare Plus.
When creating a new inspection, you can select the template that corresponds to the type of inspection you want to perform.
Templates provided by the Ministry are clearly identified in the interface as Ministry Form.
You can therefore start an inspection without having to download, print, or recreate the form.
Simply select the appropriate template and create your self-inspection form.
Use only the templates you need
The template list may contain several Ministry forms.
If you mainly use your own internal forms, you can enable the option to hide Ministry forms and simplify the list.
This allows you to keep all available templates in MyDaycare Plus while adapting the interface to the way your childcare centre works.
Standard forms do not always match your reality
An official form may sometimes contain several questions that do not apply to your childcare centre.
It may also be more detailed than necessary for certain internal checks.
That is why MyDaycare Plus does not limit you to standard templates.
You can:
The standard Ministry templates remain available as a reference, while your copies can be freely adapted.
Copy a template and simplify it
If a Ministry form generally matches your needs but contains too many items, you do not have to start from scratch.
From the list of templates, simply use the Copy option.
You can then modify the copied version to better match your childcare centre.
For example, you can keep only the items your team needs to verify regularly and create a much quicker form to complete.
This approach allows you to preserve the general structure of the original form while creating a more practical tool for everyday use.
Create your own self-inspection templates
You can also create a new self-inspection template from scratch.
For each template, you can define:
You can add as many inspection items as needed.
This allows you to create anything from a short internal checklist to a much more detailed self-inspection form.
Different response types
Not every inspection question requires the same type of answer.
The module therefore allows you to define different response formats depending on the type of verification.
For example, one item may require a compliance response, while another may require a different type of selection or additional information.
You can also choose whether a note should be available for a specific item.
This flexibility allows you to build forms that match different types of inspections.
An interface designed for use in the field
A self-inspection is usually not performed while sitting in front of a computer.
Employees often need to walk through the premises, inspect rooms, equipment, playground areas, or other parts of the environment.
For this reason, the self-inspection interface has been specifically adapted for use on a phone or tablet.
Employees can complete the inspection directly on site.
For each item, they can indicate, for example: Compliant or Non-compliant and add a note when necessary.
The goal is to allow employees to record information at the same time they perform the inspection.
Add photos and documents
Some situations are much easier to document with a photo than with a long description.
From the mobile application, employees can attach files directly to the self-inspection.
They can also take a photo using their phone or tablet and add it immediately to the form.
This can be useful to:
A general comments field is also available for information related to the inspection as a whole.
Define how often inspections should be completed
For each template, you can define a frequency.
For example, an inspection may be scheduled:
This information allows MyDaycare Plus to help you track how regularly inspections are being completed.
Your virtual employee can help too
Defining a frequency is only useful if you can easily identify when an inspection has been missed.
This is where your virtual employee can help.
If an inspection has not been completed according to the expected frequency, MyDaycare Plus can notify you.
The goal is to help you maintain a regular inspection process without having to manage a separate calendar or manual reminder list.
You define the frequency once, and the system helps you keep track of inspections that still need to be completed.
Keep a complete history of your self-inspections
Self-inspection forms created in MyDaycare Plus remain stored in the system.
You can therefore review the history of completed inspections and retrieve the related information whenever needed.
This allows you to centralize your records instead of keeping past inspections in separate binders, PDF files, or spreadsheets.
Self-inspection register
MyDaycare Plus also allows you to generate a self-inspection register.
This report provides an overview of the inspections recorded in the system.
It makes it easier to review which inspections were completed and consult their history.
The register can also be printed when you need a paper copy or want to present the history of completed self-inspections.
The register is available from the Report Centre in MyDaycare Plus.
Self-inspections are not limited to Ministry forms
Although the module was developed with the Ministère de la Famille self-inspection forms in mind, its use does not have to stop there.
With custom templates, you can also create your own internal processes.
For example, you could create a template to:
You decide which items should be checked, what response types are available, and how often the inspection should be completed.
The same tool can therefore support many different operational needs.
Less paper, better follow-up
With this new module, our goal is to replace a process that is often spread across paper forms, files, photos, and manual reminders with one tool integrated directly into your working environment.
With Self-Inspection Forms in MyDaycare Plus, you can:
The module is now available in MyDaycare Plus.
We invite you to try it and share your feedback with us.
As always, if there are features that could make this module even easier to use or better adapted to your reality, we will be happy to continue improving it with you.
